Problem-solving can often feel like navigating through a maze without a map. But being equipped with the right strategies and mindset can play a huge role in tackling those challenges. Problem-solving not just becomes manageable but you can even feel empowered through the process. Let’s Chat about some practical approaches and insights to help you navigate the details of problem-solving, empowering you to overcome obstacles with confidence and efficiency.

STATE WHAT THE PROBLEM IS

Clearly defining a problem is important in setting the foundation for finding effective solutions, making sure everyone involved understands the issue and can work towards a resolve. Without clarity on the problem, your effort to solve it might be misdirected, which can lead to wasted time, resources, and possibly misunderstandings. So, how do we define the problem?

  • Look clearly at the gap between the current state of affairs and where you’d ideally like to be. Ask questions like: What’s not working as expected? What are the symptoms of the issue?

  • Do your research gathering information, getting feedback, and observations to understand the situation more fully. Pay attention to patterns to help pinpoint any underlying problem.

  • Write a problem statement. Clearly articulate what the problem is, focusing on its core essence and its impact. Be careful to stay away from assumptions and be as specific as possible about what needs to be addressed.

  • Consider how significant and how urgent the problem is. Ask questions like: What are potential consequences if this problem is not resolved? Who is impacted or could be impacted by this problem?

  • Recheck your understanding of the problem by asking for input from others. Consider those within different proximity of the problem. Those closest to it and those from a further proximity of impact. This can assist with perspective. Reframe your problem statement if needed.

DETERMINE ROOT CAUSES

Determining the root cause of a problem helps prevent focusing only on the symptoms, which could lead to temporary fixes. Identifying the underlying factors helps in implementing targeted interventions, reducing the likelihood of the problem recurring and nurturing sustainable long-term improvement.

Be careful with those temporary fixes! A temporary fix may bring immediate relief, but relying on it can be harmful in the long run. Temporary solutions often mask underlying issues, allowing problems to resurface or even escalate over time. They can create a false sense of security, leading to complacency and neglect of any real permanent resolution efforts. Repeating a pattern of temporary fixes can strain your resources and slowly strip away the trust of those partnering with you. Instead, investing time and effort into clarifying and addressing the root cause of the problem better ensures sustainable solutions that promote growth and resilience. There are a variety of questions you and/or your team could ask to help expose some of the root causes. Here a few to get your question asking wheels turning:

  • When did this problem first start, and what triggered it?

  • What are the immediate symptoms or effects of the problem?

  • What are the potential contributing factors to this problem?

  • Are there any recent changes that could be related to this issue?

  • Are you aware of any patterns connected with this problem?

  • Have you asked for feedback from those connected or experts to learn any insights about the issue?

  • Are there any underlying assumptions or biases that might have an influence on your perception of the problem?

RANK ROOT CAUSES IN ORDER OF IMPORTANCE

Ranking root causes of a problem in order of importance allows you to budget resources efficiently, focusing on addressing the most significant root causes first. Prioritizing root causes ensures that energy is directed towards resolving issues that have the most impact, leading to more effective problem-solving and sustainable solutions.

This is about budgeting your resources well. Your time and energy are part of that list of resources so if you’re making a list, remember to add them. Focusing on the most critical root causes allows you to tackle the aspects of the problem that will give you the greatest impact on achieving your goal. Addressing this early on can also help prevent the problem from getting worse or spreading to other areas, which could potentially save resources in the long run. It's often better to invest your resources upfront when resolving critical issues than dealing with the consequences later.

Ranking root causes also allows you to set some clear goals and milestones for addressing each cause. This can help you to track your progress more clearly and measure the impact of your efforts, providing a foundation for assessing the success of your work. Basically, how’s it all coming along?

CREATE AN ACTION PLAN

Creating an action plan for problem-solving provides a clear approach, guiding you or your team through the agreed steps to address the issues effectively. It helps with accountability and clarity for achieving the desired goals, creating a smoother implementation and evaluation of the solutions you’ve developed. With an action plan in place, you can avoid wasting time and resources or duplicating efforts. Instead, you can systematically progress through the steps outlined in the plan, maximizing the effort you’re giving.

An action plan can serve as a reminder of which tasks belong to whom. Each person or team knows what they are responsible for and have a clear sense of direction regarding their assigned tasks within the agreed time-frame. The process of creating an action plan can also shed light on any potential challenges. By anticipating these potential challenges and incorporating contingency plans into the action plan, you can prepare for those risks and minimize the impact of unforeseen obstacles on the problem-solving process.

Problem-solving does not need to be an overwhelming task. You can do this! The process may look slightly different depending on the people involved or the environment. You may approach the process one way for work related challenges than you would for a personal or relational one. But having a few foundational steps or strategies can help you in the process. Clearly stating the problem is good in any situation. Determining root causes could be analytical and require a certain type of research or it could be an invitation into a space of contemplating some inner thoughts and emotions.

Imagine a bicycle. You’d use a mountain bike for one type of terrain and a beach cruiser for a different one. I’d highly recommend against taking your beach cruiser on a mountain trail! Both though have the similarities. They both have two tires, brakes, handlebars, and a chain. You get the point. What are the basics of your problem-solving bike and what type will you use for the varying terrain of your life?

Some of this may stir things that would be helpful to allow a coach, therapist or mentor to journey with you on. Do it! This is not a “fix it all”. This is not “the answer” and this is definitely not “the only”. These are what they are, practices and suggestions. Try them on for size and make them yours.
